In short
We use your details to reply, assess whether we can help and, where work goes ahead, deliver and document the project. We do not sell your data, share it for advertising, or send marketing you did not ask for.
What we collect
- Inquiry details you send through the contact form or email. Your name, work email, company if you provide it, project type if you choose one, and the context in your message, such as goals, blockers, timeline, budget constraints, links, and decision points.
- Technical data needed to run the website. Normal server or security logs may be created by the website infrastructure. We do not currently use visitor analytics or non-essential visitor cookies.
- Correspondence and project files. If you become a client, the information, assets, and agreed access details needed to deliver, manage, document, and hand over the work.
Please do not send passwords, access tokens, payment-card details, or sensitive personal data through the inquiry form. If access is needed for a project, we will agree an appropriate route after scope is clear.
Why we use it, and how long we keep it
We use personal data to:
- reply to inquiries and assess whether Sphere can help;
- agree the next practical step, such as a fit call, scope note, or proposal;
- deliver, manage, document, and hand over client work;
- run, maintain, and secure the website; and
- meet legal, tax, accounting, and record-keeping obligations.
Where UK data-protection law applies, the legal bases we rely on are contract for client work, consent for optional communications, legal obligation where records must be kept by law, and legitimate interests for replying to inquiries and running the site.
We keep inquiry data while we assess the inquiry, reply, and handle relevant follow-up. If an inquiry does not become client work, we delete or archive it when it is no longer needed for that conversation, unless we need to keep it for a legal duty, dispute, or business record. Client and project records are kept for the engagement and for the period needed for handover, record-keeping, tax, accounting, and legal obligations.
Who we share it with
We do not sell your data, and we do not share it for advertising. We use service providers for hosting, email, form handling where configured, and business operations. Where they process personal data for us, they may only process it for the service we have asked them to provide.
International transfers
Some service providers may process data outside the UK. Where that happens, we rely on safeguards required by applicable data-protection law.
Security
We limit personal-data access to the people and service providers who need it for the website, inquiry, or project. No online service is risk-free. If a personal-data breach creates a legal notification duty, we will assess it, notify the relevant authority where required, and tell affected people where the law requires it.
Your rights
Depending on where you are, you may have the right to:
- ask what personal data we hold about you, and receive a copy;
- ask us to correct data that is wrong or incomplete;
- ask us to delete your data in certain circumstances;
- restrict or object to how we use it;
- receive a copy of your data in a portable format;
- withdraw consent at any time where we rely on it; and
- complain to the UK Information Commissioner's Office ( ico.org.uk) if you are not satisfied with our response.

This website does not currently use visitor analytics or set non-essential visitor cookies. That does not remove normal server logs or the inquiry, email, and project processing described in this policy. If cookies or analytics are added later, the details will be described in our cookie policy .

We may update this policy as our practices or the law changes. The date at the top of this page shows when it was last reviewed.
